Editing Contact Information

Click a Contact’s name on a Contacts list displays the Contact Card for the Contact, as shown in the following illustration, which allows you to make modifications to a Contact’s General Information as well as designate them as Favorites, associate them with Project Spaces, assign them Tags, associate them with Business Processes, add Notes specific to them, create Tasks for them, add Additional Information pertaining to them and associate Files with them. You can have multiple Contacts open at once, with each open Contact being displayed on the Contacts menu bar. Follow the steps below to work with a Contact’s Contact Card.

  1. Click  to designate the Contact as a Favorite Contact. The Contact will be displayed on the Favorites list whenever you select the Contacts tab for quick access.
  2. Click Edit Contact or click  within the General Information portion of the screen to modify the information you have entered for the Contact using the Add Contact screen, or click Close Contact to close the Contact Card for the Contact.
  3. Click  within the Business Processes portion of the screen to add a new Business Process using the Add Business Process dialog, illustrated below.
  4. Select a Process Type from the Process Type list, enter a name for the Process in the Process Name text field, enter a closing value for the process in the Closing Value text field, select a Project with which to associate the Process from the Project list and select an assignee for the Process from the Assignee list. Then click OK to associate the Client with the Business Process.
  5. Note: Closing Value is the value of a closed deal. That is, if a prospective client is interested in a condominium valued at $500,000, then that is the closing value if the deal goes through. It is used for receivables pipeline reporting.

    Note: If you are designated the Assignee, you will receive a Notification Email at the time that the assignment is made.

  6. Click  in the Projects Spaces portion of the screen to associate the Contact with existing Projects. Please refer to the Adding Contacts to Projects section of the document for details on associating Contacts with Projects.
  7. Click  in the Tasks portion of the screen to display the Activity Editor for creating a new Task. Please refer to the Creating Contact Tasks section of the document for details on working with the Activity Editor.
  8. Click  within the Additional Information portion of the screen to add an Additional Information Template with which to associate the Contact using the Add Information Templates dialog, illustrated below.
  9. Select an available Information Template from the Available Templates list, enter a group name in the Group Name text field, if desired, and click OK to add the new Template to the Additional Information portion of the Contact’s Contact Card.
