Your Home page is the jumping off point for all of the things you will do with 1To1 Real. As shown in the illustration below, the system is divided into the following tabs, with each tab containing sub-tabs of functionality:

  1. Home
  2. Contacts
  3. Marketing
  4. Administration

A Help link is available at the top of each screen. Selecting that link moves you to a page where the answers to commonly asked questions can be found. A Messages link is provided for instant access to your Email Messages and your Preferences can quickly be modified by selecting the Preferences link. Your Activities are displayed on an Activity list that can be filtered to display activity types of current interest and additional Gadgets are provided for instant access to much of the important functionality that the application offers. All of this information will be described in detail within the following pages of the document.

Note: clicking on a Gadget here, or on any other screen where it appears, provides additional options for working with a function including the ability to Shade it (remove it from view).

As noted within the Home page section of the document, the Dashboard is displayed by default when you log in to the system and provides instant access to many of 1To1 Real™’s most important functions. As shown in the illustration below, your scheduled Activities are shown in the Activities portion of the screen, and access to the system’s Contacts, Marketing, Social and Administrative functionality is provided. The Tag cloud portion of the screen displays a list of Contacts that you have ‘Tagged’ for any number of reasons and the size of the font that they are displayed in will vary based on the Rank you tag them with.

Click Help at the top of any 1to1Real screen for access to immediate answers to the most commonly asked questions that new users have when beginning to work with the application.As shown in the following illustration, the Help Topics on this page are organized and displayed on a Help Topics list based on the top-level tabs described on the previous page.

Click the Messages link for an immediate view of any system Email messages within your Inbox, as shown in the following illustration. As more messages come into your Inbox, the Paging functionality can be used to scroll through Previous and Next screen loads of messages. Once your Inbox contains 15 entries, another page is added to the list. The number between those two links indicates the page that you are on. Click  to refresh your Inbox at any time or hide it from view.

Click the Preferences link on any 1to1Real™ screen to view a snapshot of the Contact information that you established at the time you set up your account, as shown in the following illustration.

Use this screen to modify your general information by clicking Edit Info or clicking  within the Contact Information portion of the screen. You can also globally add and removeProjects to Distribution lists you create and add or remove Projects to theNotification listsyou create simply by making a selection from the Bulk Project Options list within the Projects portion of the screen and selectingApply.

Activate or deactivate your Out-of-Office Email setting and change your password directly from this screen by clicking  within the User Settings portion of the screen and clicking Edit Settings. Finally, you can change your password directly from within the Change Password portion of the screen by entering your current password and then a new one in the appropriate text fields.

Selecting Calendar beneath the Home tab displays your daily calendar, as shown in the following illustration. Use your calendar to perform the same tasks that your calendar in an Email application such as Outlook is used to perform, so that you never have to leave 1to1Real™ to remain on top of your scheduled activities. Follow the steps below to work with your calendar.

  1. Click Add Activityor just click on a date / time in the Calendar itself to add an activity to the Calendar. Please refer to the Creating Contact Tasks section of the document for details on adding an Activity to 1to1Real™.
  2. Click thePreviousor Next arrow to view the view the previous cycle of how you have your Calendar configured to display (Day, Week or Month) of scheduled activities.
  3. Click Day to change the Calendar display to show individual days.
  4. Click Week to change the Calendar display to show a complete Calendar Week.
  5. Click Month to change the Calendar display to show a complete Calendar Week
  6. Click an Activity’s link to display the Activity Editor for that Activity.

Selecting Files beneath the Home tab displays the Files screen, illustrated below, which lists all of the files that you upload to the system on a Files list. Once you have uploaded 30 files, another page is added to the list. You can then use the Previous and Next buttons to scroll through pages in the list. The number between those two links is the page of the list that you are currently viewing.

The files that display on the Files list can be filtered by making a selection from the Select Files to View list, as shown in the following illustration. While Created by Me is selected by default, you can also filter the list by All Projects and by files created in association with your company name.

Selecting Add File allows you to add additional files to the system, as described on the following page.

Selecting Charts beneath the Home tab displays the Charts screen, illustrated below, which showsContacts by Project Space(how many contacts are coming in for each project), Contacts by Process, (where each contact is in your sales processes)Contacts by Source(which connections are bringing in the most contacts)and Contacts by Rep (how many contacts each of your company’s sales representatives are bringing in).

While Last Year is the time frame selected for the display by default, the data displayed on this screen can be filtered by making a selection from the Time Frame list, as shown in the following illustration. Simply select Last 30 Days, Last 10 Days, Last 14 Days, Last 7 Days, Last 24 Hours or All Time to have that data displayed.

Selecting Change expands the screen to show the date range from today’s date back to the time period you are viewing. To view a different time period for the same Time Frame, simply use the Calendar icon(s) to modify the date information and click Refresh to display the data for the newly selected Time Frame.

Clicking within any portion of the screen allows you to Open Contacts and List Contacts, as shown in the following illustration.

Please refer to the Contacts section of the document for details on working with Contacts and Contactlists.

Selecting a Report Category from the Report Category list loads a corresponding Reportslist of available Reports for that Category, as shown in the illustration below. To select a Report, first select a Report Category and then select an available Report within that Report Category.

The Reports screen then expands, allowing you to indicate a time period and start and end dates for which you would like to generate the Report, as shown in the following illustration.

Select a time period for which you would like to review the Report. Available options are All Time, Last Year, Last 30 Days, Last 14 Days, Last 7 Days and Last 24 Hours.

Use the Calendar icon within the Start Date and End Date fields to select a different time period for the Report other than the options cited above and then click View Report.

Click to make use of the following options for working with the Report, including the ability to Export to Excel and Export to PDF:

The Activities Gadget displays your scheduled activities on an Activities list.Activities are a reminder of what you need to handle during the displayed timeframe. Activities synch with Outlook and your handheld device to give you not only a view of your day/week/month, but reminders sent to your device.

Note: this works from the 1to1Real™ Calendar TO Outlook, but you can’t set an activity in Outlook and have it populate the 1to1Real™ Calendar.

Clicking on an Activity on the Activities list displays the following pop-up menu, which provides access to additional functionality for working with Activities.

  1. You can click Open Contacts to open the Contact Cards that have been created for the Contacts or Contact Groups assigned to the Activity.
  2. You can List Contacts to display a list of Contacts or Contact Groups assigned to the Activity.
  3. You can click Edit Task to display the Task Editor for the Activity where modifications can be made, if necessary.
  4. You can click View 1to1me Space to view the secure 1to1ME meeting space that was automatically created for the Activity at when it was initially created. Please refer to the Creating Contact Tasks section of the document for details on working with Activities/Tasks and 1To1ME.

1To1MESpacesare secure, private on-line meeting places that are automatically created when you share an activity with other people. Only people invited to 1to1Me activity spaces can access them and they are encrypted with SSL security – this means you can share even the most sensitive of information securely online.

When a 1To1MESpace is created, notifications are sent to the participants (through 1to1Real and by Email) who have been invited to ‘connect’ with you. Once invited users log in to a 1to1Me Space, they can:

  • download and share files online
  • use the message board function to have real time chat discussions
  • collaborate without using email and sending long chains of messages back and forth

1to1Me Spacesare archived securely, so your information, files and discussions are kept for easy reference for as long as you need to access them.

Using 1To1Me means that you no longer have to use Email to schedule sessions with your colleagues and you don’t get bogged down receiving dozens of emails a day. 

The following links are available for working with Activities:

Show Dismissed allows you to view a list of Activities that you have dismissed.

Hide Overdue allows you to hide Activities that are past their due date.

Filter the list by entering a search parameter in the Filter text field and then select All, Subject or Description from the Filter Type list. All is selected by default.

Defer– Clicking Defer with an Activity selected on the Activities list by a specific number of days using the Defer Activity dialog, as shown in the following illustration.

Dismiss– Clicking Dismiss for an Activity on the Activity list allows you to remove that Activity from your dashboard. The following window is displayed to ensure that is your intention.

You can always review activities you have dismissed by selecting Show Dismissed.

Clicking List Contactsfor an Activity on the Activity list displays the Contacts associated with an Activity/Task on the Task Attendees screen, as shown in the following illustration.
